How to stop losing leads: a simple follow-up system for small businesses

Most small businesses don't have a lead problem. They have a follow-up problem.
The enquiries come in. Someone fills in the form on your website, sends a WhatsApp at 9pm or messages your Facebook page while you're on a job. Then life gets in the way. By the time you reply, they've booked someone else.
If that sounds familiar, you're not alone. Most people contact two or three businesses at once and go with whoever gets back to them first. Speed and follow-up win more work than price.
Here's a simple system any small business can set up, whether you're a sole trader or a team of twenty.
1. Put every enquiry in one place
Leads go missing when they're spread across your email, your phone, your Facebook inbox and a notebook in the van. Nobody can follow up on a message they can't see.
Start by bringing every channel into one inbox: website forms, email, text, WhatsApp, Facebook and Instagram. Every new enquiry should create a contact automatically, so there's a record of who they are and what they asked for. That's exactly what a small business CRM is for.
2. Reply in minutes, not hours
The first reply matters most. You won't always be free to answer straight away, so set up an automatic reply that goes out the moment someone gets in touch.
A good automatic reply:
- thanks them by name
- tells them when they'll hear from a person
- gives them a way to move forward on their own, like a link to book a call or a visit
That last part is the big one. A booking link turns "I'll get back to you" into "they've already booked themselves in". See how online booking works.
3. Use a pipeline so nothing gets stuck
A pipeline is a simple board that shows every lead and where it's up to: new, contacted, quote sent, won or lost. When you can see it, you can spot the leads that have gone quiet.
Keep the stages simple. Four or five is plenty. Move each lead along as things happen, or let your automations move them for you.
4. Automate the follow-ups you always forget
Most of the work is won in the follow-up, and that's exactly the part that gets forgotten. Set up a short sequence that runs on its own:
- Day 1: a friendly check-in if they haven't booked
- Day 3: a useful tip, a recent review or a photo of similar work
- Day 7: a last nudge with an easy way to say yes or no
Stop the sequence as soon as they reply or book, so nobody gets chased after they've said yes. More on this in marketing automation.
5. Keep in touch after the job
A finished job isn't the end of the lead. Ask for a review a few days later, send a reminder when they're due a service or a rebooking, and add them to a monthly newsletter. It's far cheaper to win work from an existing customer than a new one.
